Is it possible to send an email with the invoice image attached?

Yes. To send an email to someone, with the invoice image attached, click the Email button in the Adobe Acrobat Reader panel.

 Is it possible to save the invoice image on my computer?

Yes. To save the invoice image to a separate file, click on the Save button in the Adobe Acrobat Reader panel.

Why can’t I edit the fields for an invoice on the Invoice Details screen?

Your user rights may not allow you to edit the invoice you are viewing or the invoice may not be at your approval level. If  you should have the rights to edit a particular invoice and you do not, contact your client administrator.

On the Invoice Details screen, why do I not have the rights to perform certain actions on an invoice?

Your user rights may not allow you to perform the particular action or the invoice you are viewing may not be at your approval level. If you should have the rights to a particular invoice and you do not, contact your client administrator.

If I am the first approver and I change the company for which the invoice was assigned, does the system change the routing based on the new company?

If the company is changed, saving/approving the change will send the invoice to the first approval level setup for that company.

Why am I required to enter a comment when I reject an invoice?

A comment is required when rejecting an invoice because the previous approver needs to understand why the invoice was rejected back to their level so that they can take appropriate action to allow the approval at your level. Also,  an audit trail is maintained for approval and rejection activity.

Why do I confirm invoices on the My Invoices screen, but there is no confirmation on the Invoice Details screen?

The My Invoices page utilizes a confirmation screen because selecting and submitting multiple invoices at once is more prone to unintended submissions.

Can I sort my invoices or sort the invoice results from an invoice search?

Yes. To sort results on My Invoices or the Invoice Search screen, click on the column header for the column you would like to sort by.

An invoice’s status is showing at my level, yet I have already approved it, why?

If you have already approved an invoice, and it’s status is showing at your level still, this is probably because multiple approvals are required at your level before it moves to the next level.

How do I see the coding changes that were made by previous users?

There are a couple different methods to view coding changes to an invoice:

  1. To view the previously saved/approved details from another user, click View on the My Invoices screen.
  2. On the Invoice Details screen, click the invoice history next to the invoice in question.

How do I find an invoice from a particular vendor?

If you know the invoice requires action on your part, select the company for the invoice in the company drop-down of My Invoices, and then select the vendor.

If the invoice does not require your action at this time, go to the Invoice Search page, and in the Vendor name textbox, type the name of the vendor. If you do not know the full name of the vendor, you can use the asterisks (*) as a wildcard, (ex. for Joe’s Plumbing, you can type Joe*).

How do I find where a particular invoice is in the approval process if it is not in my approval queue?

Go to the Invoice Search page, and search for the invoice by the known information. The invoice status will be displayed as part of the search results.

I know other invoices exist in the approval process, why don’t I see them in My Invoices?

The My Invoices screen only lists the invoices requiring action on your part. To view invoices that you know exist in the approval process, utilize the Invoice Search page and filter by company.

How do I get added to an approval level for a company?

To be added to an approval level for a company you must contact your client administrator.

On my invoices, why can I filter by company, but the filter for vendors is disabled?

To filter by vendor, you must select a company first. Vendor lists are separated by company, therefore a company must be selected first.

What should I do if I forget my username and/or password?

Click the link for forgotten password or username. Refer to the related documentation for details. Or, contact your Administrator to retrieve your username and to generate a new password to be emailed to you. When you login for the first time with your new password, you will be required to change your password for security purposes.
